Housecall Pro Email Marketing: Beyond the Postcards

Housecall Pro handles your scheduling and invoicing. Here's what to do with the customer data it collects.

Housecall Pro email marketing integration is the practice of exporting customer records from Housecall Pro to run targeted, sequenced email campaigns that go beyond HCP's built-in postcard mailers and basic automations — giving contractors access to the full customer list without the constraints of an FSM's native marketing tools.

What Housecall Pro Does

Housecall Pro is a field service management platform built for residential contractors — plumbing, electrical, HVAC, landscaping, and cleaning. It handles scheduling, dispatching, invoicing, customer communication, and includes some built-in marketing tools (review requests, postcard campaigns). It's a strong operational platform, particularly for small to mid-size contractors.

Where Housecall Pro Falls Short for Marketing

  • Email marketing is a limited add-on, not a core feature — HCP's native email tools are designed around simple templates, not sequenced campaigns
  • The postcard mailer feature (a physical mail product) has a higher per-contact cost than email
  • Behavioral email triggers are not available — HCP can't fire an email when a customer hits 18 months of dormancy
  • Campaign segmentation is basic — filtering by job type, equipment age, or service frequency for targeted campaigns requires manual work
  • Deliverability management is not HCP's focus — dedicated email platforms invest significantly more in inbox placement

How Housecall Pro Works With Send It

Housecall Pro collects the customer data — job history, contact information, service frequency. Send It converts that data into revenue through targeted email campaigns. The export-to-campaign workflow works the same way it does for any FSM: pull the right segment from HCP's reporting, clean the list, and run the sequence.

The Workflow, Step by Step

  1. 1

Export your customer list from Housecall Pro

Go to Housecall Pro Reports → Customers, filter by last service date, job type, or customer status, and export to CSV. Include name, email, phone, and last service date at minimum.

  2. 2

    List verification and scrubbing

Before any campaign goes out, invalid addresses, bounces, and previously unsubscribed contacts are removed. For lists older than 12 months, email verification reduces hard bounce rates and protects sender reputation.

  3. 3

    Segment by campaign type

Organize contacts by the appropriate campaign: win-back (18+ months inactive), seasonal service push, estimate follow-up, or maintenance agreement enrollment. Each segment gets messaging matched to where they are in the customer lifecycle.

  4. 4

    Campaign build, approval, and launch

Send It builds and sequences the campaign, you approve, and it launches on the agreed schedule. Results are tracked and reported with enough detail to connect bookings back to specific campaigns.
